Our Policies
At Coastal Florida Real Estate Media, our goal is to provide reliable, professional media services that support effective real estate marketing. The following policies help ensure clear expectations, consistent delivery, and a smooth experience for both our clients and our team.
Delivery Times
Unless otherwise discussed prior to a scheduled shoot, most photography services are delivered digitally within 24 hours of completion. Zillow 3D tours are typically processed and published to the Zillow platform within the same timeframe. Same-day delivery is available for an extra fee.
Video services require additional editing and are generally delivered within 1–2 business days following the shoot, depending on scope and project details.
Payment
Payment is not required in advance to schedule services. Invoices are generated when you book the shoot and may be paid at any time before downloading the delivered media.
Clients who prefer to pay in advance are welcome to do so. For brokerages or teams that process invoices through a centralized administrator or accounting department, we can configure billing within our booking system so invoices are routed to a single account for payment.
Cancellation and Reschedule
We understand that schedules can change quickly in real estate. To help us manage availability for our team, we ask that cancellations or reschedule requests be made at least 24 hours in advance of the scheduled shoot.
Cancellations or reschedules made within 24 hours of the appointment may incur a $75 cancellation fee. If a shoot is cancelled after our photographer arrives at the property, or access to the property is unavailable, a fee equal to 50% of the quoted shoot cost will be assessed in addition to the $75 cancellation fee.
As a courtesy, the value of the 50% late cancellation fee may be applied toward a rescheduled shoot, provided the new appointment is booked within seven days of the original date.
Cancellation fees are rarely assessed, as we make every effort to maintain clear communication, including confirmation messages sent prior to the shoot using the contact information provided at booking.
Failed Access
If our photographer arrives at a scheduled shoot and is unable to access the property due to unavailable access, lockbox issues, tenant denial, or incorrect entry information, a $50 site access fee may be assessed to cover travel time and scheduling impact.
Refund Policy
Due to the nature of the services provided and the digital deliverables involved, Coastal Florida Real Estate Media maintains a no-refund policy once a photoshoot has been completed and media has been delivered.
Refunds may be issued only in limited circumstances, including:
• If we are unable to complete a scheduled shoot due to circumstances within our control, such as equipment failure, any prepaid fees will be fully refunded.
• If an incorrect set of media is delivered, the correct files will be provided promptly at no additional cost.
Please Note:
• Refunds are not issued for subjective reasons, including dissatisfaction with visual style or for selecting an incorrect package after delivery.
• Clients are responsible for reviewing delivered media promptly and notifying us of any technical issues within five (5) business days of delivery.

Reshoots
We strive to deliver accurate, complete media on every shoot. In the event that a reshoot is required, the following guidelines apply.
Complimentary Reshoots (Technical Issues)
If delivered media contains a clear technical issue—such as a missed room or equipment malfunction—and we are notified within three (3) business days of delivery, we will schedule one complimentary reshoot at no additional cost.
Client-requested Reshoot
Reshoot requests that are not related to a technical issue may be subject to additional fees. Examples include changes to staging, newly added finishes, or revised framing preferences.
• If a reshoot request is made within seven (7) days of delivery and involves a limited scope (generally fewer than ten images), a discounted reshoot fee may apply.
• Requests involving extensive reshooting, multiple rooms, or the entire property—or requests made after seven (7) days—may be billed at the current package rate.
Property Not Ready at Time of Shoot
If a property is not properly prepared at the time of the scheduled shoot (including significant clutter, lack of electricity, access issues, or incomplete staging) and the shoot proceeds, a return visit or reshoot may incur an additional fee. Any applicable reshoot or return-trip fees will be communicated in advance.
Scheduling & Turnaround
Reshoots are scheduled based on availability and follow standard turnaround timelines. Once a reshoot is confirmed, an updated delivery estimate will be provided.
Rescheduling Due To Weather
Photoshoots will generally proceed as scheduled unless weather conditions prevent safe or effective capture. In cases of light or intermittent rain, interior photography may still be completed as planned.
When weather conditions impact exterior photography, interior images can often be completed as scheduled, with exterior images addressed separately. In many cases, tasteful sky replacements may be applied during editing when appropriate. If exterior photography cannot be completed due to weather, we will return to capture exterior images at the earliest available opportunity when conditions allow.
Alternatively, the entire shoot may be rescheduled to the next available appointment. No rescheduling fees are assessed for weather-related delays or changes.
Licensing & Usage Rights
All delivered media is licensed for use as outlined in the applicable license agreement. Usage is limited to the marketing of the specified property and may not be reused, transferred, or repurposed without written permission.
Agreement & Payment
By booking services with Coastal Florida Real Estate Media, you acknowledge and agree to the policies outlined on this page. All fees are itemized in the applicable quote or invoice.
Any reshoot or return-visit fees must be paid prior to scheduling unless alternative arrangements have been approved in advance.
Third-party Platform Responsibility
While we ensure media is delivered correctly, Coastal Florida Real Estate Media is not responsible for technical issues, compression, cropping, or display limitations caused by third-party platforms, MLS systems, or listing websites.
Turnaround Exceptions
Delivery timelines may be affected by unusually high volume, severe weather, or circumstances outside our control. Any delays will be communicated as soon as possible.
Force Majeure/Unforseen Events
We are not liable for delays or service interruptions caused by events beyond our reasonable control, including severe weather, emergencies, or government restrictions.
